· Schedule and communicate meeting date upfront for the year taking logistical arrangements and company calendar, into
· Communicate any changes of the meeting dates and schedule (cancellation/rescheduling) to the members with the required timelines
· Ensure members are duly appointment in writing and update members appointment letters when required
· Ensure that an alternate Assistant Officer is arranged to stand-in where committee meeting non-attendance cannot be avoided by the responsible Assistant Officer
· Inform end user/buyer in writing if submission documentation is not complete and reason for rejection.
· Prepare periodical, ad hoc reports and statistical reporting as and when required.
· Attend meetings and ensure meeting proceedings are recorded for minute purposes, at the appropriate time.
· Drafting complete and accurate minutes of the meetings and ensuring timeous circulation to members by due dates, and approval at the meeting.
· Ensure meeting action lists are circulated and followed up on with members
· Ensure that “Extracts of Minutes” are prepared for distribution within the required timelines
· Advising end users/buyers of instructions given and decisions made by the respective committees.
Minimum requirements
Minimum Requirements
Qualification(s):
• Applicable Secretarial or administrative national certificate or diploma (NQF Level 4)
Experience:
• 2 to 3 years related experience in corporate secretarial functions
• Previous experience in adjudication committee participation as support/secretariat is advantageous
Skills:

Knowledge:
• Understanding of Corporate Governance principles
• Understanding of Terms of Reference, policies and procedures
